iAdmin interface explained

Memo to iAdmin user (formerly known as iViewer)

We have recently made minor modifications to your iAdmin and wanted to explain each column from left to right.

Dictation #: Refers to the voice file number. Every time a dictator from your facility dictates a report, our voice server assigns a number to the voice file. This number may be useful in the event that you need a dictation STAT. Right clicking the voice file, select dictation and then play, if you have speakers on your PC, enables you to listen to the voice and confirm that this is the report needed. If you give us the dictation # this would expedite document return.

Dictation Status: Refers to the status of the voice file.
U = untranscribed
F = the voice file has been transcribed. F = finished
P = purged/delete. Our voice server keeps a voice file for 30 days and then purges/deletes it. In most cases, your iAdmin is set for 30 days so more than likely you will not see voice files in P status. If your iAdmin has been set to 60 or 90 days you will see voice files in P status.

Document #: Refers to the text number once a voice file has been transcribed. Once complete each voice file has a corresponding text number. Knowing a document number is very useful for quick searches in iAdmin.

Document Status:
T = transcribed, report ready for distribution.
Q = there are questions for review by the dictator or incomplete patient information for office staff. A report in Q status needs to be reviewed before distribution.
P = purged or deleted. There is no report for download or distribution.

Author ID = Dictator ID number used by the provider to authenticate that they are a legitimate user to our voice server. Knowing your author IDs is very useful for quick searches in iAdmin, and when delivering reports since report delivery defaults to author ID subfolders.

Author Name = name of dictator.

Date and Time of Event = date of service that the patient was seen OR

Date Dictation End = the date and time that the health provider completed the dictation. Your iAdmin will have either of these two columns.

Subject name = patient name.

Subject ID = patient medical record number, or patient account number.

Delivery = tags whether or not you have downloaded the report to your local PC by marking delivered reports with a D. This is useful as it helps you keep track of your workflow.

Medical transcriptionist ID = useful in tracking which medical transcriptionist typed the report.

QC Status = tells you if a report has been routed to our QC editor and is in queue for review. If you see a report tagged with an H in this column it means that the report has been transcribed but is on hold for QC. You can download a report in this status if you have an urgent need for it, but we would prefer that you give us more time to review it first. Effectively, this report is a draft copy.
