MD to MD medical transcription – Encrypted Emails

Procedure: The emailed reports will be sent to you as zipped attachments. We will now be using the Advanced Encryption Standard (AES) which is a National Institute of Standards and Technology specification for the encryption of electronic data.

AES is a new cryptographic algorithm that can be used to protect electronic data. Specifically, we use a 256 bit symmetric-key block cipher, and encrypt and decrypt data in blocks of 128 bits. Unlike public-key ciphers, which use a pair of keys, symmetric-key ciphers use the same key to encrypt and decrypt data.

Procedure: The emailed reports will be sent to you as zipped attachments.

When you receive the email:

  1. Save i.e. download the attachment to your local PC’s hard drive, in the folder of your choice.
  2. Rename this zipped attachment. (Details omitted on the website, due to privacy/HIPAA).
  3. Double click the zip file. Select run and choose a folder to unzip your documents to. This will default to the same directory that you downloaded the zip file to.
  4. When prompted for your password, enter this exactly as given to you by the administrator. This is case sensitive.
  5. Your reports will open in MS Word format and will be saved by eight character patient last/first name.
